Quote monthly or yearly fees (SaaS, maintenance)

Overview#

Fees that recur every month or year, such as SaaS subscriptions or maintenance, can go on the same quote as one-time setup fees. For each line choose Billing: One-time, Monthly or Yearly. When a quote has monthly or yearly lines, the quoted amount is the first-year total (one-time fees + monthly × 12 months + yearly).

Steps#

1. Create a quote (Deal documents → Create → Quote on a deal, or New quote on the quote list). Edit an existing draft with Edit on the quote page.
2. Choose Billing for each line. The unit price is one period (one month for monthly, one year for yearly); quantity is the number of IDs, seats, etc.
3. With monthly or yearly lines, Contract term appears. Enter the term in months (blank = 12) and the Service start date.
4. Check Monthly ¥… × 12 mo, First-year total (incl. tax) and Total contract value (for terms over a year), then save.

How the quote looks#

• Under the quoted amount (first year) you see the monthly, yearly and one-time amounts (incl. tax) with the term and start date.
• Lines are marked monthly or yearly, and amounts end with /mo or /yr.
• The totals list one-time fees, monthly × 12, yearly × 1, discount, tax and the first-year total. Terms over a year also show the total contract value.
• The quote list and the quote summary show "First year · ¥…/mo" under the amount.

When the quote is won#

When you mark the quote won and close the deal, you can choose Set the deal amount to the first-year total (excl. tax). The monthly amount (excl. tax) is recorded too and shown under the deal amount.

FAQ#

• Can I put the months in the quantity? Please don't. Use quantity for IDs or seats and put the months in Contract term. A quantity of 12 would bill 12 months every month once the quote becomes a contract.
• I want to show an annual-payment discount: Quote a yearly line instead of a monthly one (for example ¥398,000 a year, the price of 10 months at ¥39,800).
