Overview

There are two kinds of inspection:

  • SV Patrol: a supervisor (SV) adds check items freely on site and judges each one ○ Good / △ Needs Improvement / × Fail. A QSC score is calculated when you save (100 minus 5 per × and 2 per △, kept between 0 and 100).
  • HQ Audit: points are deducted per item of a prepared template, up to each item's maximum.

A record moves from Draft → Confirmed → Follow-up Done. Confirming assigns the deductions to staff, and a discipline level is recorded from the month's running total.

Steps

1. Prepare

  1. Open Food safety → Inspections in the side menu (the page is titled "Store Inspection").
  2. On the Categories tab, switch between SV Patrol / HQ Audit and create categories (for example hygiene or service manners) with Add Category.
  3. For HQ audits, click Create Template on the Templates tab, enter the Template Name and Category, then use Add Item to enter each item's Item Name, Max Deduction (1 or more) and Description, and save.

2. Create an inspection record

  1. On the Records tab, click Create Record and choose SV Patrol or HQ Audit.
  2. Enter the Shop and Inspection Date (for an HQ audit, also choose the Template).
  3. For an SV patrol, add items with Add Item and fill in the category, check item, judgment (○ / △ / ×), assignee, note and photo. For an HQ audit, fill in each template item's deduction, assignee, note and photo.
  4. Add an Overall Comment if needed. To ask the shop for fixes, turn on Follow-up Required and set a Follow-up Deadline.
  5. Click Save. The record is saved as a Draft.

3. Confirm

  1. Click the Confirm button on a draft record in the list.
  2. Choose the Default Responsible (Manager). The inspector can't be chosen.
  3. Click Confirm. Deductions on items with an assignee go to that assignee; deductions on items without one go to the default responsible person. For SV patrols, deductions are generated from × and △ (× -5 / △ -2).

4. Follow up

Records with Follow-up Required show Required in the list. Once the shop has fixed things, use Submit Report to send the Improvement Details (required) and photos. The status becomes Follow-up Done and the record shows Reported.

On the screen

  • Filters: shop, type, template, status (Draft / Confirmed / Follow-up Done) and date range.
  • QSC Score: shown for SV patrols only.
  • Deduction/Judgment: the ○△× counts for SV patrols, the total deduction for HQ audits.
  • Deducted / Discipline: after confirming, who received deductions and their discipline level.
  • Confirmed records can't be edited. Use the eye button to view them.

FAQ

  • I need to fix a confirmed record: confirmed records can't be edited. Deleting the record also removes its deductions; create it again and confirm it.
  • What are the results used for? SV patrol results also feed the QSC part of the position allowance. → Incentives and allowances
  • Can the inspector be the responsible person? No. The inspector is left out of the default responsible list.
