What gets posted
Each destination chooses which notifications to receive:
- New leads & deals: when a lead or deal is created. Imported ones are not posted. A deal created directly in a won stage is posted as a won deal.
- Deals won: when a deal moves to a won stage, wherever it was moved (board, detail page, mark as won and so on). At most once an hour per deal.
- Customer email replies: when a customer replies to a sales email. Auto-replies and mail from unknown senders are not posted. The subject and body are never posted (emails are visible to their owner only); only which customer and person replied and who the owner is. At most once every 30 minutes per thread. Threads shared as "Only me" are posted too, with only the sender and the owner.
- Payments received: when a payment is recorded on an invoice (entered by hand or through bank matching). Shows the amount, invoice number and, for partial payments, what remains.
- Pending approvals: when a leave request, clock-in correction, expense claim or payment request is submitted. Posted once per request, however many approvers there are.
Every notification carries the key facts (deal, customer, amount, owner) and a link that opens the right page in Bookmi.
Where to set it up
Settings → Connectors, under Chat notifications further down the page. Only company administrators can set it up. You can add up to 5 destinations.
Add a destination
- Click Add destination and choose Chatwork, Slack or LINE WORKS.
- Enter the connection details as guided on screen (see "Preparing each service" below).
- Set a Name (optional) (e.g. Sales team), the Notifications to send and the Message language (日本語, 中文 or English), then click Save.
- Click Send test in the list and check that the test notification arrives in the room.
Preparing each service
- Chatwork: the Room ID is the number after "#!rid" in the URL when you open the group chat. Issue the API token under your account name → Service integration → API token. Notifications are posted as the account that owns the token, so a dedicated notification account is recommended. Make sure that account is a member of the room.
- Slack: add "Incoming Webhooks" to Slack and pick the channel; paste the URL it issues (starting with https://hooks.slack.com/services/…).
- LINE WORKS: use the LINE WORKS Incoming Webhook app to issue a webhook URL for the room (starting with https://webhook.worksmobile.com/message/…) and paste it.
API tokens and webhook URLs are stored encrypted, and only the last 4 characters are shown after saving. When editing, fill them in only if you want to change them (blank keeps the saved value).
Pause, edit, delete
- Pause / Resume: stop notifications for a while without removing the destination.
- Pencil button: change the notifications, language, name or connection details.
- Trash button: delete the destination, together with the saved token or URL.
If notifications do not arrive
Under each destination the list shows Last sent with the time, or Failed with the reason.
- Chatwork: check that the token is still valid, that its account is still in the room, and that the room ID is right.
- Slack and LINE WORKS: check that the webhook has not been deleted or disabled. If you recreate it, paste the new URL.
- Notifications that failed are not resent later. After fixing the cause, confirm with Send test.
FAQ
- I want notifications for myself: chat notifications are for shared team rooms. For your own notifications, use the notification settings or "Get Bookmi notifications on your own LINE".
- Can the email subject be posted too?: no. Emails are visible to their owner only, so the room only gets the sender and the owner.
- When do they arrive?: right after the action (they are not batched).
