Overview
A performance evaluation moves through self evaluation → primary review → secondary review → finalized.
- The final score is the secondary review score (competency) plus a KPI score. The KPI score is pulled automatically from incentives confirmed for the same month and shop.
- Quarterly, annual, probation and promotion reviews get an evaluation rank from the achievement rate. Monthly reviews record scores only, with no rank.
- Quarterly and annual reviews automatically include the average of the monthly achievement rates as a reference score.
- Finalized scores go into the evaluation part of promotion points.
Setup
Four screens under Settings define how you evaluate.
- Evaluation Types: register categories (such as performance or skills) with Add Evaluation Type. If you don't pick Applicable Positions, it applies to every position.
- Evaluation Items: add the items in each category with Add Evaluation Item (item code, item name, max score, sort order, applicable positions).
- Evaluation Ranks: click Initialize Preset to create 10 ranks, adjust the score ranges, grade change and salary change, then click Save All. Enter a score under Rank Preview to see which rank it falls into.
- Evaluation Domains: set the domain weights (QSC, Revenue & Profit, Staff Training, Discipline) to a total of 100% and click Save Weights. In the table below, choose a domain for each category and click Batch Save.
Steps
- Open People & pay → HR Evaluation and click Initiate Evaluation.
- Choose the Evaluation Type (Monthly, Quarterly, Annual, Probation or Promotion) and the Evaluation Month.
- Narrow it down By Shop, By Role or By Employee. With no filter, every active employee is included. Click Initiate (n).
- Employees get a notice and fill in their self evaluation. Evaluators are assigned automatically; change them with Assign evaluator in the list.
- Evaluators open the review with Evaluate, score each item, write the Overall Comment and click Submit Primary Evaluation (or Submit Secondary Evaluation). Submitted reviews can't be changed.
- Submitting the secondary review finalizes it, and the Score Summary shows the final score and rank.
Head-office admins can use Confirm as Final on a review at the secondary stage to keep the primary score as the final one.
On the screen
- Evaluation Progress: how many are at each stage and the overall progress rate.
- Scores in the list: self, primary, secondary and final, plus the Final Rank and the in-shop Rank.
- Evaluation System Rules: how each type is handled (monthly ×12 → quarterly ×4 → annual ×1).
- The review screen shows the Score Summary (competency, KPI, final, rank), the item table (target, self, primary, secondary, final) and the Monthly Reference Score.
Objection Appeals
People & pay → Objection Appeals records and reviews objections about evaluations, inspections, incentives, allowances and more.
- Click New Appeal, enter the Appeal Type, Title, Appeal Reason, Additional Details and Target Month, then click Submit.
- Click Start Review in the list to set it to Under Review.
- Check it and click Approve or Reject.
Approving an appeal doesn't change scores or amounts. Correct them on the relevant screen. Appeals entered here are recorded under the name of the person who entered them.
FAQ
- Can I start a monthly and a quarterly review in the same month? No. Each person has one review per month; anyone who already has one that month is skipped.
- The KPI score is 0. The incentive for that month and shop hasn't been confirmed. Confirm incentives before the secondary review.
- Does the salary change on an annual review change pay? Not automatically. Request and approve a raise or pay cut in Promotions. → Promotions, ranks and staff development
- How are evaluators assigned? For staff, the primary evaluator is the shop manager and the secondary is a head-office admin. For shop managers, the primary is a head-office admin assigned to the same shop and the secondary is the company owner.
- What happens if I delete a review? Its details and any promotion points it gave are removed. This can't be undone.
If you don't see this screen in the side menu, check your plan or your role's permissions.
