Overview

  • Manuals: put work procedures into text, images and PDFs. Publish them to all shops or to selected shops. Staff read them in the Bookmi app.
  • Knowledge Base: a shared place for company files. Organize them in folders, preview them in the browser, and create share links for people outside the company.

Create a manual

  1. Open Store operations → Work Manual in the side menu.
  2. To create categories first, click Add Category on the Categories tab and enter a name. Use the arrow buttons to change the order.
  3. On the Manuals tab, click Add Manual.
  4. Under Applicable Shops, tick All Shops or the shops it applies to.
  5. Enter the Manual Name (required), Category and Content.
  6. Drag photos or PDF instructions onto the upload area, or click to choose them (PDF, JPG, PNG, GIF, WebP).
  7. Click Create. The manual is saved and the attachments are uploaded.

The manuals screen

  • Filter with the category buttons at the top, and search titles and content with "Search manuals...".
  • Opening a manual shows its content, attachments, views, and created and updated dates. Download attachments, or remove one with Delete Attachment.

Store documents in the Knowledge Base

  1. Open Store operations → Knowledge Base in the side menu.
  2. On the Documents tab, click Upload Files or drag files onto the screen. PDF, Word, Excel, PowerPoint, text, images, video, audio and ZIP are supported, up to 50MB each, several at a time. For paper documents, use Send from phone to take a photo.
  3. Optionally enter a title (the file name is used if blank) and a category, then upload.
  4. Organize files into folders with Add Category and New subfolder on the left.
  5. Use Preview, Rename, Share, Download and Delete on each file.

Share links

Click Share → Create link to make a link that opens without signing in. Choose how long it lasts: 1, 7 or 30 days, or never expires. Copy it to send, and click Disable when it's no longer needed.

Warning

Anyone with the link can view and download the file without signing in. Disable it once you no longer need it.

FAQ, To learn and Try it

If an AI answers customers first on LINE or another chat, add questions and answers under FAQ and turn on Use for AI answers for documents. Questions the AI couldn't answer well collect under To learn; Make FAQ lets the AI answer them next time. Try it shows which FAQ or document the AI would use for a question. → AI first answer

FAQ

  • Can I save a manual as a draft? No. Once created, staff at the applicable shops can read it right away.
  • Some files won't preview: formats such as old Word (.doc) can't be shown in the browser. Download them instead.
  • Manuals or Knowledge Base? Daily work procedures go in manuals, which you can publish per shop; manuals from suppliers, company paperwork and other files go in the Knowledge Base.
Note

If you don't see this screen in the side menu, check your plan or your role's permissions.
