Overview

When you click Extract with AI, the AI also drafts two documents for the customer: minutes for the customer (written to be sent outside) and a thank-you email (subject and body). Both are drafts: copy them, or open them in the compose window, edit, and send them yourself.

What it does and does not do

  • It does: let you edit the customer minutes, copy them, send them from a compose window with recipient, subject and body filled in, and create the thank-you email from the AI subject and body.
  • It does not: send anything to the customer automatically.

Steps

  1. While the minutes are a Draft, read Minutes for the customer through and edit it in the box. Your edits are saved when you click Confirm and apply.
  2. Click Send by email. A message opens to the activity contact with the subject 【議事録】2026/10/8 + subject and the customer minutes as the body. Check it once more and send.
  3. To paste it elsewhere, click Copy (it changes to Copied).
  4. In the Thank-you email box (showing the AI subject), click Create thank-you email, check the subject and body, and send. Without an AI subject it uses 【お礼】 + subject.

On the screen

  • The customer minutes are written separately, on the assumption they will leave the company. Internal assessments and confidence, such as BANT, risks and stage reasoning, sit in other parts of the card and are not included.
  • After confirming, the customer minutes are read-only, but Copy and Send by email still work. Change the wording in the compose window.
  • Both emails are sent from your own Gmail (sales email), just like the invitation email.

FAQ

  • Could internal information reach the customer? The customer minutes are written for outside readers and leave out internal assessments and confidence. But the AI works from the conversation, so things said in the meeting, such as your lowest acceptable price or comments about competitors, could still end up in the text. Always read it before sending and delete anything that should not go out.
  • There is no Thank-you email box: the AI could not write a body (for example, the transcript was too short). Write it yourself or re-extract.
  • I want to change the customer minutes after confirming: you cannot change them on the card. Edit in the window opened by Send by email, or re-extract and confirm again.
