Overview
The groundwork for your shops and staff sits under Settings in the side menu:
- Shops: shop name, business hours, closed days, day change time and other basics, plus feature restrictions for the shop iPads
- Members: staff accounts, added by email invitation
- Positions: job titles (the name of each job)
- Roles: what each person can see and do. Use the "Tax Accountant" role for your accountant
Steps: add or edit a shop
- Open Settings → Shops and click Add Shop (or the pencil icon to edit).
- Enter Shop Name (required), Short Name, Phone and Address.
- Under Business Hours, use Add Period to enter Start, End and L.O. (Last Order) for each period, such as lunch and dinner.
- Choose the Closed Days and set the Day Change Time.
- Set QR Order Settings, Table Defaults, Order Settings, AI Settings, Attendance Settings and checkout payment methods as needed, then click Save.
With a Short Name, the shop selector on every screen shows that name. Late-night shops should set the Day Change Time: at 05:00, sales at 2 a.m. count toward the previous business day.
Steps: lock iPad features with a PIN
- In Shops, click the lock icon (Feature Restrictions).
- Click Set, enter a New PIN (4-8 digits) and click Save.
- Under Restricted features, choose from Accounting Corrections, Sales Display and Cash Management, then click Save.
The settings apply to every iPad of that shop. If you Clear the PIN, all restrictions stop.
Steps: invite a member
- Open Settings → Members and click Add Member.
- Enter the Email and Name and choose a Role. Shop and Job title are optional.
- Click Send invitation. The member sets a password from the email.
To create an account without email, click Create account without email and enter Username, Real Name, Password and Role.
Steps: update a member or record a leaver
- Click the pencil icon to open Edit Member and update the shop, job title, rank, pay, visa status, schedule settings and so on.
- When someone leaves, enter the Leave Date. Setting a leave date disables the account automatically.
- If a member forgets their password, set a new one with Reset Password.
- Unlock accounts, force logouts and disable accounts in Security Management.
Roles vs. job titles
- Role: what a person can see and do. With Role Level set to Company they see all shops; with Shop, only their own shop's data.
- Job title: the name of the job. It doesn't change what they can see. Use Add common job titles in Positions to add several at once.
- If none of the ready-made roles fit, Copy one in Roles and edit it, or create one with Add Role.
Steps: invite your tax accountant
- In Members, click Add Member and enter the accountant's email and name.
- Choose the Tax Accountant role and click Send invitation.
People with the Tax Accountant role see only Tax Accountant Report in the side menu. In settings they can only view their profile and use security and display settings. → Tax Accountant Report
The Tax Accountant role cannot be copied. Always give your accountant the built-in Tax Accountant role.
