Attachments and share links

What you can add#

• Files from your computer: click Attach files in the compose window, or drag files anywhere onto it. Up to 20 MB per file.
• Deal files and quotes: when the email is linked to a deal, choose from "This deal" and "Quotes for this deal" under Files (deal files & sales materials) → Choose.
• Sales materials: shared files marked as sales materials. Available even when the email is not linked to a deal.

When writing from a customer or contact page, use Attach deal files to pick an open deal (shown to people who can use deals). The email is then linked to that deal and its files become available.

Each email can carry up to 10 files in total, attachments and links combined.

Attach or link#

Switch each file between Attach and Link.

• Link: a block like 「【資料】…（リンクの有効期限：…まで）」 is added automatically at the end of the body, before the signature. Choose an expiry of 14 days (default), 7 days, 1 day, 30 days or no expiry.
• With two or more links you can choose Combine (n) links into one. The customer receives a single URL that opens a list of the files.
• Deal files sent as links show how many times they were opened. A quote sent as a link is marked as viewed when opened, and the owner is notified.
• If you undo the email or it fails to send, the links stop working too.

Total attachment size#

The total you can attach to one email depends on the sender address:

• Your Gmail account address: about 18 MB
• A bookmi.ai address: 3 MB
• Other addresses (such as your company info@): 10 MB
• Via Bookmi (documents): 3 MB

The compose window shows the running total against the limit. A file that does not fit is switched to Link as soon as you add it, and if you change to a sender with a smaller limit, the largest files are switched to links first.

Files you cannot send#

• Executables and scripts (exe, bat, js, lnk, iso, msi and other types Gmail rejects) cannot be attached, including renamed ones and ones inside a ZIP.
• ZIP, 7z and rar files can be attached, but password-protected ZIPs (PPAP) often cannot be opened by the recipient, so Send as link is recommended.

Attachments you receive#

On attachments in a thread you can Preview (images, PDFs, Word (docx), Excel (xlsx), CSV and text, shown inside your browser without sending the file to any outside service), Download or Save to deal files. Attachments over 10 MB are not brought into Bookmi; only the name is shown ("Open this attachment in Gmail"). The icon colour shows the file format (PDF red, Word blue, Excel green, PowerPoint orange).

FAQ#

• A large file won't send: switch it to a link or send from your Gmail account address, which has the highest limit. If the limit is exceeded when sending, Switch attachments to links appears.
• Files are missing when I send an old draft: files attached but not sent for 7 days or more are deleted automatically. Attach them again.
• The deal stage changed after I sent a proposal: sending a file in the proposal category moves the deal to the proposal stage (unless it is already further along).
