Email status

Each email in a thread shows its status: Scheduled, Sending, Sent, Failed, Canceled, Received, Delivery unknown or Bounced.

Delivery unknown

The connection to Gmail dropped while sending, so it is not known whether the email arrived. To avoid sending it twice, Bookmi never resends automatically.

  1. Check Gmail's Sent folder or ask the customer.
  2. Resend only if you find it did not arrive.

Failed

The reason appears under the email, and the sender is notified that the email could not be sent. Common reasons:

  • "Gmail is disconnected" or "Gmail authorization has expired": reconnect under Settings → Email.
  • "The document was reverted to a draft" and similar: the document changed while the email was scheduled or in the undo window, so sending was stopped.
  • "An attachment couldn't be loaded": the file may have been deleted before sending.

Fix the cause, then write and send the email again. You are also notified when a sequence message could not be sent.

Bounced

The recipient's server returned an error saying the email could not be delivered. The thread shows "Bounced" with the failed address and reason, and the sender is notified. The contact is flagged "Bounced (date)" and any sequence they are in ends.

  1. Check which address failed and why.
  2. Correct the contact's email address. Changing the address clears the flag.
Note

A bounce is shown only when the error email reaches Bookmi. This is automatic for bookmi.ai addresses. For Gmail and own-domain addresses using a "forward only customer emails" filter, error emails may not be forwarded; check your Gmail inbox in that case.

Unsubscribes

Sequence emails automatically end with a link for unsubscribing. When the customer uses it, the contact is flagged "Unsubscribed (date)", leaves any sequence and can no longer be added to one. Other contacts in your company with the same email address are unsubscribed too.

You can still send one-to-one sales emails, but the compose window warns "Don't send sales or promotional emails".

Resubscribing

Under Japan's Act on Specified Electronic Mail, you may send sales emails again to someone who unsubscribed only after getting their renewed consent.

  1. On the contact page, click Resubscribe.
  2. Tick I got this person's renewed consent (Act on Specified Electronic Mail).
  3. Add a note if you like (for example "Agreed by phone on 10/5 to receive our emails"), then click Resubscribe.

Who resubscribed, when, and the note are kept in the activity history. Sequences the contact left are not restored; add them again if needed.

Night-time sending

Sequences (email and LINE) do not send at night (20:00 to 8:00 Japan time); those steps go out after 8:00 the next morning. One-to-one sales emails, including scheduled ones, go out at the time you set.
