What you can do
- Send from your own Gmail: customers receive an ordinary email from your address. You can also send from your company info@ or a bookmi.ai address.
- Write from anywhere: Compose in the top bar, Write an email in ⌘K, the C key, contact, customer, deal, lead and business card pages, or any email address in a list.
- Keep the history: sent emails and customer replies are recorded per thread and appear on the contact, customer and deal pages and in the activity history. Anyone can follow the story when the owner is away.
- Never miss a reply: Mail in the left menu (under Customers & email in the small-business menu) shows which customers have replied and still need an answer (Needs reply). For emails you are waiting on, add a no-reply reminder.
- Send documents and files as they are: quotes, invoices and receipts go out with the original PDF; deal files and sales materials go as attachments or share links.
- Avoid mistakes: Bookmi checks recipients and greetings before sending, lets you undo right after sending, and reminds you when nobody replies.
- Polish with AI: turn notes (even in Chinese) into a Japanese business email, check keigo and draft replies ("Use AI to polish an email, check keigo and draft replies").
- Schedule faster: pick time options from your free time and insert them into the email ("Insert meeting time options into an email").
- Look back with numbers: see reply rates and reply times per owner ("See your email numbers").
What it does not do
- No bulk email. These are one-to-one emails: up to 10 recipients (To, Cc and Bcc combined) and 200 emails per person per day. For step-by-step follow-ups, use Sequences.
- No reading your Gmail. Bookmi only has permission to send. Emails you send directly from Gmail and replies that are not brought in stay outside Bookmi.
- No open tracking. Only files sent as share links show how often they were opened.
- The message body is plain text; no formatting or embedded images.
Getting started
- Connect Gmail under Settings → Email and check your sender addresses ("Connect Gmail and set up sender addresses").
- Bring customer replies in. bookmi.ai addresses need no setup; for Gmail and your own domain, set up auto-forwarding in Gmail ("Bring customer replies into Bookmi").
- An admin sets up the company signature ("Set up email signatures").
- Write your first email from a contact ("Write and send an email").
Tip
Each morning, open Needs reply on the Mail screen and click Mark as done once a thread is handled. That alone keeps replies from slipping through.
