From a recurring quote to contract and billing (setup fees, recurring invoices, renewals)
A contract made from a recurring quote holds only the recurring fees, and the one-time fees go into a separate draft invoice. Yearly fees are billed every 12 months from the start month, and a renewal deal tracks the renewal.

Overview
When you Convert to contract a quote with monthly or yearly lines (Quote monthly or yearly fees), it is split like this:
- Contract: type "Subscription (SaaS)". Its lines and amount are one period of the recurring fees (one month if there are monthly lines, one year if only yearly). It starts on the quote's service start date, ends after the contract term, and renews automatically every year.
- Setup-fee invoice: one-time lines on the quote are not added to the contract amount; a separate draft invoice is created for them. The quote discount goes on this invoice.
- Yearly fees: yearly lines on a monthly contract are kept as yearly fees and added to the invoice in every 12th month from the start month.
Steps
- On the quote, click Convert to contract (in ⋯ if it is not the main button).
- If the contract page says the one-time fees went into a separate draft invoice, click Open invoice, check it and send it.
- Review, finalize and sign the contract. The appendix lists the one-time and yearly fees, and Article 4 mentions them.
- Turn on Recurring billing in the Billing card. Monthly contracts draft an invoice every month; yearly contracts do so in every 12th month from the start month.
Renewal deal
As the end date nears, click ⋯ → Create renewal deal on the contract to track the renewal as a deal.
- The amount is one year of recurring fees (excl. tax), the expected close date is the contract end date, and the next action is to confirm the renewal (due on the notice deadline).
- Small-business deals get the type "Maintenance / ongoing".
- Each contract has one renewal deal. Once created, the button becomes Open renewal deal.
- Notice-deadline and expiry reminders also point to this action (Notice and expiry deadlines and auto-renewal).
Note
A yearly-only contract reads yearly fee, yearly unit price and / yr, and its recurring invoices are one year each.
FAQ
- Can the setup fee go on the monthly invoices? No. It is billed once on its own invoice.
- The quote has a discount but no setup fee: the discount is not carried into the contract; adjust the first invoice.
- I created it as an order under a master contract: as before, every quote line is copied into the contract and no setup-fee invoice is created.
