What the Calendar and the schedule board do

See sales appointments on the Calendar, and everyone's whereabouts, attendance and leave on the Schedule & Whereabouts board. Both are filled from the same sales activities, so nothing has to be entered twice.

Overview

Bookmi has two screens for schedules.

  • Calendar (Calendar in the left menu): the company's sales appointments (activities such as visits, meetings and calls, plus entries added to the calendar) on a monthly calendar.
  • Schedule & Whereabouts (Schedule Board in the left menu): everyone's whereabouts, time out, remote work and leave, plus today's attendance, by day, week or month.

Both are driven by sales activities. When you plan a visit in Activities, it appears on the Calendar and on the board automatically (meetings, calls and so on appear on the Calendar). An outing you add on the board and link to a customer or deal is also saved as a sales activity. There is no need to enter the same appointment in three places.

When to use which

Who can see what

  • The Calendar and the board are shared with everyone in the company. You can see other people's entries, but you can only add, change or delete your own.
  • Private events in Google Calendar never appear on either screen. The only things that come in from Google are meetings with external guests, imported by Meeting import (Meeting import).
Tip

To see your own schedule in Google Calendar too, use Export sales activities, whereabouts and leave to Google Calendar. Whatever you add or change in Bookmi is reflected in Google.

FAQ

  • Should I add things on the Calendar or on the board?: Appointments with customers, such as visits and meetings, are best added as sales activities in Activities (visits appear on both screens; meetings and calls on the Calendar). Whereabouts such as remote days, internal meetings and business trips go on the board with Add schedule.
  • There is no Schedule Board in my left menu: It can be hidden depending on your industry, plan or permissions. Ask your administrator.
