Auto-post scanned receipts as expenses and journal entries

We've added Auto-post to the Receipt ledger, so scanned receipts can automatically become expenses and journal entries when they meet your conditions. Receipts whose account was chosen by AI or our standard dictionary are flagged Needs review, so you can check them together later.

What's new

  • With Auto-post turned on, receipts that match your own rules or accounts you've chosen before (learned accounts) become expenses and journal entries as soon as they're uploaded.
  • Receipts from common merchants such as convenience stores, restaurants, the post office and SaaS services, as well as receipts the AI is highly confident about, are also posted and flagged Needs review. You can find them with the Posted by AI (unreviewed) filter.
  • Receipts that can't be posted automatically show the reason. You can also set a default payment method to use when the payment method can't be read.
  • The Posting account column in the list shows in advance which account each receipt will be posted to. You can set the account on the details screen, and we suggest candidate accounts based on past records and other data.
  • When you correct an account, it's remembered as a learned account, and receipts from the same store are posted to that account from then on. You can review, edit or delete learned accounts on the Learned accounts tab in Settings > Accounts & rules.
  • The document type (register receipt, receipt, invoice, payment slip, transportation, utilities, notice and more) is detected automatically, shown as a badge and available as a filter. Tax and social insurance payment slips are assigned an account based on the type of tax (for example, withholding income tax goes to deposits received and corporate tax to income taxes payable), and notices of correction or determination are not posted.
  • If the same receipt is uploaded more than once, it's marked Possible duplicate and auto-posting stops.
  • If the same payment has already been recorded from a bank transaction, you'll see a warning, and Replace with this receipt and link prevents it from being counted twice. Posted receipts can be returned to unposted with Undo posting.
  • The month-end close screen shows the number of Unreviewed auto-posts.
