Role editing now uses toggles to choose available features

On the role editing screen, set which features members can use just by choosing a Data scope and Available features. Screens you can't access now show a clearer message.

Before

Role permissions had to be picked from a detailed list of permissions, which made it hard to tell which menus would become visible.

What's new

  • Role editing now follows the order Data scope → Available features → Menus visible to this role, with a toggle for each feature. You can still change detailed permissions in Advanced settings as before.
  • The Available features toggles follow each industry's menus. Permissions for existing roles don't change.
  • For small businesses and sole proprietors, Sales, Quotes, Invoices & Receipts, Contracts & E-signatures and Edit Announcements & Knowledge Base can now be turned on or off individually. Roles with the data scope set to Only my data see only the quotes, invoices, contracts and other records they're responsible for.
  • For small businesses and sole proprietors, only administrators with Role and permission settings turned on can create or change roles. For a preset role, use Edit (for your company) to create your company's own version of the role, and move that role's members over at the same time.
  • When you open a screen you don't have permission for, you'll see which feature permission is missing and how to ask an administrator to enable it in your role. People who can configure roles also see Go to role settings.
  • When an administrator changes a role, "Your role's permissions have been updated" appears when you return to the screen, and the menus switch to match the new role. There's no need to sign in again.
  • If you open the details of a quote, invoice, contract, deal or other record outside the scope you can view, you'll see "This data could not be found, or you don't have permission to view it."

Who it's for

  • Industries: all industries (the Sales, Quotes and other toggles, and the restrictions on creating and changing roles, apply only to small businesses and sole proprietors)
  • Screens: Role Management (Settings > Roles for small businesses and sole proprietors)

How to use it

  1. Open Role Management and edit the role you want to change.
  2. Choose a Data scope and Available features.
  3. Check the menus shown under Menus visible to this role, then save.
