Contacts are now visible to all members, with a private option
Contacts are now shared company information that all members can see, and you can mark any contact as Only visible to me. For small businesses and sole proprietors, accounting and administration staff can now use companies, contacts, business cards and email.
Before
Who could see a contact was limited by role scope (your own assigned contacts, your store's contacts and so on). For small businesses and sole proprietors, people without access to sales features couldn't open companies or contacts.
What's new
- All members can see contacts. What each person can edit or delete is still determined by role scope, as before.
- If you select Only visible to me when creating or editing a contact, it's shown only to the person who registered it, the internal owner and admins.
- Set an Internal owner (the person in charge on your side) for a contact; it's shown in the list and details.
- Roles for small businesses and sole proprietors now have a Companies & Contacts switch. Accounting and HR & payroll roles can also use customers, contacts, business cards, email and Message Center. Sales fields such as sales status and customer rank are shown only to people with access to sales features.
- When creating a contact while reviewing a business card, you can link it to a company with a matching name or register it as a new company. You can open the business card image from the contacts list.
- Customer details now show Last contact, including emails and follow-up sequences.
- A contact's Source is shown with clear icons such as the LINE logo.
Who it's for
- Industries: industries that use contacts (the Companies & Contacts switch is for small businesses and sole proprietors only)
- Screens: Companies & Email > Contacts, Customers and Business Cards; Settings > Roles
How to use it
- For contacts you don't want other members to see, check Only visible to me on the edit screen.
- To let accounting and administration staff use these features, make sure Companies & Contacts is on in Settings > Roles (it's on for the default roles).
